This lesson is about Plans, which is one of the seven themes of PRINCE2 methodology. This theme is based on the principle “Focus on Products”. Planning is important to ensure the success of the project. Purpose of Plans Theme: The purpose of the Plans theme is to facilitate communication and control by defining the means of delivering the products. The Plans theme provides a framework to design, develop and maintain the project’s plan. The Plans are also baselined to measure progress against it. Effective project management relies on effective planning. Without a plan there is no control. The targets of Plan are: time, cost, quality, scope, risk and benefits. Planning provides all personnel involved in the project with information on: What is required; How it will be achieved and by whom, what specialist equipment and resources will be used; When events will occur and Whether the targets for time, cost, quality, scope, risk and benefits are achievable. In the next screen we will look at the key definitions associated with plan. Plans Terms—Definitions: A PRINCE2 plan is a document describing how, when and by whom a specific target or set of targets is to be achieved. These targets will include the project’s products, timeframes, costs, quality and benefits. A Plan is the backbone of the management information system required for any project. It is important that plans are kept in line with the Business Case at all times. A plan requires the approval and commitments of the relevant levels of the project management team. Planning is the process of making and maintaining a plan and it is crucial, regardless of the type or size of the project. Without effective planning, the result of complex projects cannot be predicted in terms of scope quality, risk, timescale, cost and benefits. It is, therefore, essential to allocate sufficient time for the Planning stage. PRINCE2 requires a product-based approach to planning. Levels of Plan: PRINCE2 suggests that there should be different plans at different levels for effective project management. Project plan is created during ‘initiating a project’ process. Plans must be produced at different levels of scope and detail. The period of time for which it is possible to accurately plan is known as the planning horizon. Due to this, it is seldom desirable, or possible, to plan an entire project in detail at the start. Initiation stage plan is created during the ‘starting up a project’ process. PRINCE2 recommends three levels of plan to reflect the needs of the different levels of management involved in the project, stage and team.
